Program Support Associate
Location: Dartmouth Facility
Reports To: Josh Smith, Director, Dartmouth Facility
Summary

To provide effective administrative support, ensuring the smooth operation of our charitable programs. To accomplish our mission and build community by positively interacting with volunteers, recipients, and donors alike.

RESPONSIBILITES

Program Support

  • Assistance Programs:
    • Answer Furniture, Food, and Christmas Helpline calls and enter intake information into database
    • Assist in scheduling, tracking, and reporting of deliveries
    • Assist in conducting inventory counts and placing weekly orders to vendors such as the Greater Boston Food Bank
    • Return calls for assistance to provide Helpline information or referral
    • Ensure confirmation calls are made for furniture delivery appointments
    • During Christmas season, manage schedule for wrapping volunteers and serve as ‘floor manager’ supervising wrappers, as needed
  • Donation Program:
    • Schedule furniture pickup appointments
    • Serve as primary responder to online Furniture Donation Form submissions and donors emailing donation pictures
    • Communicate need for additional furniture pickup routes to appropriate co-worker
    • Ensure confirmation calls are made for pickup appointments
    • Periodically participate in furniture pickup routes to help maintain quality control standards
    • During Christmas season, conduct gift inventory and coordinate church ‘giving tree’ collections

Administrative Duties

  • Serve as primary point of contact for main business line; transpose voicemail messages and refer on to appropriate staff member
  • Order program support materials and manage inventory of standard office and facility supplies
  • Carry out special assignments, such as determining valuation of food deliveries and preparing satisfaction surveys for recipients

Volunteer Hospitality

  • Greet incoming visitors, provide registration instructions to new volunteers, and inform appropriate staff of guests’ arrival
  • Maintain records in Volgistics (volunteer tracking software) and activate new volunteer records
  • Assist with volunteer hospitality – e.g. make morning coffee and restock dispensers in building
  • Collaborate with co-workers to coordinate lunch preparation and grocery shopping, as needed
  • Create and print service verification letters for volunteers
  • Periodically lead new volunteer tours
Desirable Qualities & Experience
  • Deep commitment to Christian service and the mission of My Brother’s Keeper. Prior experience working in a non-profit / mission-driven organization or demonstration of a strong service orientation strongly preferred.
  • Excellent interpersonal, communication, and teamwork skills. Ability to effectively engage and build relationships with staff, volunteers, donors, and recipients.
  • Detail oriented with strong time management skills and demonstrated ability to multi-task and prioritize in a fast-paced dynamic environment
  • Strong analytical and systems skills with experience in Microsoft applications (Office suite – Outlook, Word, Excel, PowerPoint and Publisher) as well as Microsoft Access, Google Drive and Calendar. Ability to quickly learn organization’s database system and Volgistics volunteer tracking software
  • Patience and compassion — must consistently display these qualities as well as emotional maturity when conducting intakes on organization’s Helpline
  • Flexibility — ability to adapt to changes in the work environment, making quick adjustment to schedule
  • Sound judgment — position involves decision-making throughout the day which must occur independent of direct supervision
  • Able to maintain confidentiality and discretion with information related to donors and recipients
  • Ability to speak Spanish or Portuguese desired
  • Bachelor’s degree preferred
